Overview
Org Admin is a customer-facing permission set intended for day-to-day administration of your organisation’s users. The primary capability is creating and managing users for your organisation, without needing support from IntelliAM.
How access works in IntelliAM
IntelliAM uses a simple structure to control which dashboards a user can see.
Key concepts
Organisation
Your top-level account in IntelliAM.
Sites
Organisations contain one or more sites. Sites are used to segment access (for example, by location, facility, plant, depot, or business unit).
Dashboards
Dashboards are assigned to one or more sites:
- If a dashboard is specific to a single site, it is assigned to that site only. If a dashboard applies across multiple sites, it is assigned to multiple sites.
- Users When a user is created, they are assigned to one or more sites.
The rule of access
A user can see a dashboard if the user is assigned to at least one site that the dashboard is assigned to.
In practice, this means:
- If a user is assigned to Site A only, they will only see dashboards that include Site A.
- If a user is assigned to Sites A and B, they will see dashboards assigned to Site A, Site B, or both.
- If a dashboard is assigned to Site C only, users who do not have Site C will not see it.
What Org Admins can and can't Do
Org Admins can:
- Create new users in their organisation
- Assign users to one or more sites during creation
- Update a standard user’s site assignments
- Update a standard user's personal information
- Disable or manage access for standard users (Org Admins cannot delete or modify other Org Admins)
Org Admins cannot:
- Create or edit dashboards
- Change which sites a dashboard is assigned to
- Create new Org Admins (contract support)
- Create or edit organisations or sites
- Change platform-wide configuration
Note: The boundaries of these permissions can be altered under certain circumstances, if you feel you are unable to complete tasks you need to please let us know.
Creating a new user (high level)
For the creation of a new user I have provided some high level steps below, there is also a more detailed walkthrough here.
- Navigate to the user management area in IntelliAM
- Select the option to create a new user
- Enter the user’s details (for example name and email)
- Assign the user to the relevant site(s)
- Save the user and confirm they can sign in after setting a password
Common examples
Example 1: Single-site user
- Organisation: Acme Group Sites: London, Manchester
- Dashboard: London Operations (assigned to London)
- User: assigned to London only
- Result: user sees London Operations, but not Manchester-only dashboards.
Example 2: Multi-site user
- Organisation: Acme Group Sites: London, Manchester
- Dashboard: Group Performance (assigned to London and Manchester)
- User: assigned to London and Manchester
- Result: user sees Group Performance plus any dashboards assigned to either site.
Example 3: Site-specific dashboard
- Organisation: Acme Group Sites: London, Manchester
- Dashboard: Manchester Energy (assigned to Manchester only)
- User: assigned to London only
- Result: user does not see Manchester Energy.
